Why This Matters
Modern pediatric care involves a significant amount of administrative work that is not covered by insurance, including:
-
Referrals to specialists and pediatric hospital systems
-
Prior authorizations and appeals after insurance denials
-
School, sports, camp, and medication forms
-
Communication and coordination with outside providers
-
Ongoing follow-up through insurance portals and systems
This work is essential to your child’s care, but it requires time, staffing, and resources that are not reimbursed through traditional visit-based billing.
To continue providing high-quality, coordinated care, we offer the following options for administrative services:
Your Options
1. Annual Administrative Service Enrollment
$75
/patient/year
-
Covers administrative services from June through May
-
Provides predictable, all-inclusive support for administrative needs
-
Enrollment is available through June 30 each year only
What’s included:
-
Referrals to specialists and hospital-based clinics
-
Prior authorizations and appeals after denials
-
School, sports, camp, and medication forms
-
Administrative letters and documentation
-
Care coordination outside of visits
Please note: Some more complex forms (such as FMLA or IHSS documentation) may require an office visit to ensure they are completed thoroughly and accurately.
2. Pay-Per-Request Administrative Services
$50
per administrative item
-
For families who prefer not to enroll annually
-
Pay only when administrative services are needed
Applies To:
-
Referrals
-
Prior authorizations
-
Forms
-
Administrative letters
Payment is required at the time each request is made.
If you do not enroll in the annual program by June 30, your account will default to the per-request model for the remainder of the year, until the next enrollment period.
IEHP (Medi-Cal) Patients
For patients with IEHP (Medi-Cal), administrative services are handled differently.
These services — including referrals, coordination, and follow-up — can be supported and reimbursed through a Community Health Worker (CHW) model, which is part of Medi-Cal’s care coordination structure.
As a result, IEHP patients will not be charged the administrative service fee.
This allows us to continue providing the same level of coordinated care while utilizing the resources available within the IEHP system.
A Few Helpful Notes
-
Physical and sports forms completed during a scheduled visit do not incur an additional administrative fee
-
Enrollment in the annual program is available only through June 30 each year
-
New patients joining after June may enroll at a prorated rate based on the remaining months in the cycle
Concierge & Direct Primary Care (DPC)
Families enrolled in our Concierge or Direct Primary Care programs have administrative services fully included.
This means:
-
No additional fees for referrals, forms, or prior authorizations
-
Direct access to your pediatrician or PNP, including outside office hours

Lab draws performed in our office include a convenience fee to cover staff time and supplies. This fee is included for Concierge and DPC families, but separate from administrative service fees for standard patients.
